Compensation

Salary Range: $35.94 - $54.16 / hour

Pay for PRN positions is calculated differently than Full-Time, Regular Part-Time, and Part-Time positions. PRN Rates depend on the position and other factors, including years of experience, or shift commitment according to the department policy. PRN differential is added in certain positions.

Responsibilities

Position Overview: 

The IS Onboarding Coordinator plays a crucial role within the Information Systems (IS) Department of our health system, ensuring seamless integration of new staff members into our ecosystem of applications. This individual will be responsible for mapping and continuously improving systems onboarding processes, focusing on process efficiency and end user satisfaction. The IS Onboarding Coordinator facilitates training aids and processes, and role-based access controls. This position will work closely with IS staff, HR personnel and departmental managers to facilitate a smooth IS onboarding experience for all new employees, Medical Staff and non-employee resources.

Qualifications

Minimum Qualifications

  • Associate of Arts (AA) or Associate of Science (AS) degree
  • Seven (7) years of Health Information Technology experience
  • Five (5) years of experience with electronic health records (EHR) and third-party applications
  • Three (3) years of experience with onboarding in a Healthcare environment
  • Two (2) years of experience in workflow analysis and documentation, including the use of modeling software (e.g., Visio)

Preferred Qualifications

  • Bachelor's Degree
  • Ability to understand basic technical concepts
  • Lean Six Sigma or proven experience in process improvement
  • Project Management Professional (PMP) Certification, or proven experience in project management, preferably in a healthcare or IT environment

Essential Functions and Responsibilities:

  1. Continuously analyzes and maps the current onboarding process for new employees within the health system, ensuring documentation is always current and reflects any changes or updates to the process.
  2. Regularly identifies bottlenecks, inefficiencies and areas for improvement in the onboarding workflow, maintaining a proactive approach to optimizing the onboarding experience.
  3. Consistently proposes and implements strategies to streamline the onboarding process, focusing on reducing time-to-productivity for new hires, elimination of waste in provisioning workflows and incorporation of the latest tools and technologies to enhance efficiency and effectiveness.
  4. Collaborates with relevant stakeholders to implement process improvements effectively.
  5. Coordinates training sessions for new employees on IS systems (Email, Teams, Intranet, etc.) and software applications.
  6. Develops and maintains training materials.
  7. Conducts general training sessions with users, new and current, as needed.
  8. Creates and maintains a catalogue and schedule of training courses.
  9. Ensures that training materials are up-to-date and tailored to the specific roles and responsibilities of each employee.
  10. Works with IS onboarding stakeholders to implement role-based access controls for new employees.
  11. Ensures that employees have appropriate access permissions based on their job roles and responsibilities.
  12. Maintains accurate records of onboarding activities, training completion and access permissions.
  13. Ensures compliance with hospital policies, industry regulations and data security standards throughout the onboarding process.
  14. Provides ongoing support and assistance to new employees during the onboarding process.
  15. Serves as a point of contact for questions, concerns and technical assistance related to IS onboarding procedures.
  16. Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops.
  17. Maintains an awareness of current technology including other related areas of information services.
  18. Assists in development and implementation of policies and procedures for the department operation.
  19. Troubleshoots, identifies improvements and makes simple decisions independently.
  20. Works successfully and professionally with all levels of employees and management.
  21. Performs other duties as assigned.
